Refund & Cancellation Policy

This policy forms part of Waaru’s Terms of Service. By subscribing to a paid plan, you agree to the terms below.
1. Free trial
Every new Waaru account starts with a 14-day free trial when you connect your first WhatsApp Business number. No credit card is required to start a trial. At the end of the trial period, your account is automatically downgraded and messaging will stop until a paid plan is activated. We do not charge anything if you choose not to subscribe.
2. Paid subscriptions
Waaru subscriptions are billed in advance in Indian Rupees (INR) via Razorpay Software Private Limited. You can subscribe on a monthly or annual basis. Your subscription renews automatically at the end of each billing period unless you cancel before the renewal date.
3. Cancellation
You can cancel your subscription at any time from your account settings under Billing → Cancel subscription. There is no cancellation fee.
When you cancel:
- Your plan remains fully active until the last day of your current paid billing period
- You retain access to all features you are paying for until that date
- On the day your billing period ends, your account is downgraded to a restricted state and messaging stops
- Your workspace data is retained for 30 days after your billing period ends, then permanently deleted
- You will not be charged again after cancellation
You can upgrade your plan at any time from your account settings. Upgrades take effect immediately.
4. Refunds
All subscription fees are non-refundable once a billing period has started, whether the plan is monthly or annual.
This applies whether you cancel immediately after payment or at any point during the billing period. Your access continues in full until the billing period ends — you are not cut off early and no partial refund is issued.
The 14-day free trial exists specifically so you can fully evaluate Waaru before committing to a paid plan.
Exceptions
We will issue a full refund only in the following circumstances:
- You were charged in error — for example, a duplicate payment, an incorrect amount, or a verified technical fault on our side
- You contact us within 48 hours of the charge and the error is confirmed by our team
5. Payment failure and suspension
If your payment fails, we will retry the charge for up to 3 days. If payment is not received within that period, your account will be suspended. Accounts that remain suspended for non-payment for more than 14 days may be terminated. We will send 7 days’ advance notice to your registered email address before termination. No refund is issued for any period preceding suspension.
6. How to request a refund
Email legal@waaru.app with the subject line:
Refund request — [your registered email] — [Order ID]
Include a brief description of the issue. We will review your request within 3 business days and respond. Approved refunds are processed within 5–7 business days back to the original payment method.
7. RBI mandate cancellation
If you set up a recurring payment mandate with your bank or UPI app under RBI’s e-mandate framework, you can cancel it at any time:
- Through your bank’s net banking or mobile app under “Manage Mandates” or “Standing Instructions”
- Through your UPI app under “Autopay”
- By emailing us at legal@waaru.app— we will cancel it from the Razorpay side
Cancelling the mandate stops future charges. It does not generate a refund for the current billing period.
8. Non-refundable items
The following are non-refundable under any circumstance:
- Any subscription fee for a billing period that has started, whether monthly or annual
- Meta conversation fees — these are billed at cost directly from Meta; Waaru has no control over or margin on these charges
- Accounts terminated for violation of our Terms of Service or Meta’s WhatsApp Business Policies
