How to follow up on B2B enquiries on WhatsApp

The short answer

Follow up on a B2B enquiry by answering the buyer’s open question and agreeing on the next useful step. Assign an owner, retain the context and record any promised action. Choose timing from the conversation rather than forcing every prospect into the same sequence.

A buyer who asked whether your product fits their process should not receive a generic “just checking in” before anyone answers. Good follow-up starts with understanding what is still unresolved.

What should the salesperson read before replying?

Read the original request and any replies from colleagues. Identify what the buyer wants to decide: product fit, implementation effort, price, availability or a meeting. Separate that question from your own desire to book a demo.

Check who owns the conversation. If another teammate has promised a response, coordinate internally before sending a second introduction. A change of owner should not make the buyer explain the project again.

The lead qualification guide helps choose questions that affect the next step. Leave details for later when they do not change the answer you owe now.

What does a useful follow-up say?

Fictional example: A buyer asks whether your service can support enquiries from several branches. They have not asked for a quote yet.

An appropriate reply might be: “You asked about enquiries from several branches. Does each branch reply separately, or does one team manage them? That changes the setup we should discuss.”

If the answer is already known, provide it instead of adding another question. If you need a specialist, say who will check and what they are checking. Avoid an unsupported assurance such as “we support everything you need”.

When a buyer asks for pricing, point to the applicable published information or an approved quote process. Do not hide the answer behind a mandatory call unless a genuine scoping decision is required.

What belongs in the enquiry record?

Keep a short record another salesperson can use. Record the decision, not just the chat activity. A note saying “followed up” says little about what should happen next.

Use this enquiry checklist:

  • Business problem in the buyer’s own terms.
  • Requirements already confirmed and questions still open.
  • Current owner and any specialist involved.
  • Action promised by your team.
  • Next step agreed with the buyer, if any.
  • Permission or communication preferences relevant to further contact.

Mark an unknown budget or decision date as unknown. Do not infer purchasing authority from a job title or treat a brief answer as evidence that the deal is ready to close. Keep notes relevant and factual.

How often should you follow up?

There is no universal interval in this guide. If the buyer asks you to return after an internal meeting, record that request. If your team owes an answer, resolve it instead of waiting for a scheduled sales message.

A follow-up should carry a reason: an answer, a requested document, a corrected detail or an agreed check-in. Repeating the same prompt more often does not create that reason.

Respect a request to stop. Further WhatsApp contact must follow the applicable permission and template requirements in WhatsApp’s policy. See the opt-in guide before planning a proactive sequence.

When is a demo the right next step?

Offer a demo when seeing a relevant workflow will help the buyer decide. Name the question the session will answer. “We can walk through how a branch enquiry reaches its owner” is more informative than a generic meeting request.

If the buyer only needs a documented answer, send that answer. A meeting can add unnecessary effort when the issue is already clear. If they request a quote exception or a commitment outside published scope, send it to an authorised person.

The AI sales workflow guide explains how question answering, actions and human ownership fit together. It should support your process, not replace judgement about whether the buyer needs a meeting.

How can you improve the follow-up process?

Review a sample of fictional or appropriately authorised enquiries with your sales team. Ask whether the response answered the actual question, whether the next action had an owner and whether the record could be understood without reading the whole thread.

Look for unfinished promises rather than counting messages alone. A busy thread may still have no answer. Use the B2B sales page to plan enquiry intake and ownership. The glossary explains unfamiliar workflow terms before you choose tools or integrations.

Download the blank checklist to adapt the fields for your team. Use fictional records when testing it.

What should travel with a sales handover?

The next owner needs the buyer's question, confirmed requirements, quote or document version, promises already made and the next action. Record whether the receiving person accepted the task. Assignment alone does not answer the buyer.

Example internal note: "Buyer needs branch enquiries routed to local teams. They want to keep their CRM. Compatibility has not been checked. Technical sales owns that check before a demo is proposed."

"CRM supported, ready for demo" would turn an open question into a commitment. Check generated summaries against the original thread. Keep missing budget or purchasing authority marked as unknown.

Tell the buyer why the owner is changing: "The technical team will check your CRM requirement. They have the branch details you shared." Promise a response time only if the receiving team accepted it. Preserve contact preferences and stop requests. If the owner is unavailable, name a backup before closing the transfer. Keep confidential internal assessments out of the customer-facing reply.

FAQ

Frequently asked questions.

Should every B2B enquiry enter a follow-up sequence?

No. Start with the buyer’s request, communication permission and agreed next step. Some enquiries need a single answer; others need a specialist or a scheduled discussion.

Can an AI agent approve a special price?

Do not give an automated reply authority it has not been explicitly granted and verified to exercise. Route price exceptions to the authorised sales owner.
