WhatsApp lead source tracking: clicks to enquiries

Tanay PatelAI and full-stack engineer
The short answer

A campaign can get WhatsApp-link clicks without producing the same number of enquiries. Track the click, the received message, and the qualified lead separately so you can see where people stop. Keep the evidence behind each source label: customers can edit or forward a prefilled campaign phrase, so the phrase alone cannot prove where they came from.

Define the events before building a report

Click: someone selected the WhatsApp link. Conversation started: the business received a message. Qualified enquiry: a person or defined process confirmed the enquiry fits your criteria. Outcome: a verified booking, order or other business result.

Give each event its own count. A button-click conversion does not measure completed conversations. Check that analytics does not fire twice for one interaction before comparing campaign performance.

How do you know where an enquiry came from?

A website can record which CTA opened the contact link when analytics is permitted. A short non-personal campaign marker in prefilled text can help the receiving team identify likely context. It may be removed or copied.

Some advertising entry points provide referral metadata. Verify the actual webhook payload and what your system retains before promising automatic attribution. Do not invent an ad ID for an ordinary organic message.

Record source confidence as observed, customer-stated or unknown. An honest unknown is more useful than assigning every unclassified enquiry to the latest campaign.

What to keep with each enquiry

Suggested fields: internal enquiry ID; first observed source; source evidence type; received time; task; owner; qualification result; verified outcome. Avoid putting phone numbers, message bodies or email addresses in analytics event properties.

Fictional example: a buyer clicks the hotel brochure CTA, then sends an edited message without its campaign phrase. Website analytics can count the click. The inbox may lack evidence tying that click to this buyer. Report the two observations without fabricating a join.

Preserve the first enquiry when ownership changes

Do not overwrite the original source every time sales sends another link or changes a CRM field. Keep later touches separately where your system supports them. A follow-up message is not a new acquisition source.

The Zoho lead workflow covers record creation and matching. Check which source fields the actual action supports. Manual review is preferable to quietly storing a guess in an unsupported field.

Where are potential customers dropping out?

Compare qualified enquiries with the messages your team actually received, while keeping link clicks as a separate step. Give sales work time to reach an outcome before judging the campaign. An enquiry from yesterday may still be waiting for a quote or a meeting.

Review missing sources and duplicate records alongside conversion counts. If a campaign produces clicks but few messages, inspect the link and opening experience. If messages arrive but qualification is poor, inspect the offer and audience. Each gap calls for a different change.

FAQ

Frequently asked questions.

Can I identify every person who clicked a WhatsApp link?

No. A website click and an inbound message may not have a permitted, reliable identifier connecting them.

Is prefilled text reliable attribution?

It is a useful hint, but customers can edit, remove or forward it. Preserve the evidence type and uncertainty.
