WhatsApp feedback surveys: questions and follow-up

Tanay PatelAI and full-stack engineer
The short answer

A WhatsApp feedback survey is easier to answer when it asks about something specific: the arrival instructions, a delivery update, or whether support resolved the problem. Keep it brief and optional, and give people a way to ask for help. A positive score does not grant marketing permission, and a survey reply does not automatically close a support case.

What experience are you asking about?

Ask about one event: a support interaction, a hotel stay or an order delivery. Confirm that the event actually finished before requesting feedback. A shipment marked dispatched is not a completed delivery.

Record the event reference and the reason the survey is eligible. If a complaint remains open, route it to the owner instead of sending a message that assumes everything is complete. Check permission and the applicable messaging requirements before proactive contact.

Ask questions that lead to a decision

Support: "Did we resolve the question you contacted us about?" Follow an unresolved answer with an offer of help.

Hotel: "Was the arrival information clear?" Ask what was missing only if the guest wants to explain.

Delivery: "Did the delivery match the update you received?" A negative answer can reveal inaccurate tracking messages.

These are draft questions for review, not approved message templates. Avoid combining speed, friendliness and resolution into one question. You will not know which part a low score describes.

Who follows up when something went wrong?

Create a named owner for unresolved answers. Preserve the event and original question so the customer does not have to start again. An acknowledgement should state what will happen next without promising a resolution time nobody has accepted.

Keep the survey score separate from the support status. A person may rate the interaction highly while still waiting for a refund. Another may give a low score for an issue already resolved. Read the comment before choosing the action.

What the score does and does not tell you

Show invitations, delivered invitations, responses and the question version alongside scores. People who respond are not necessarily representative of every customer. Do not report a few positive replies as proof of universal satisfaction.

Compare the same question and event type across periods. A hotel arrival question and a support-resolution question measure different things. Review whether reminders changed who responded before attributing a score change to service quality.

Use the replies to improve the service

If guests keep asking where to park, the arrival message is worth reviewing. If customers say they had to explain an order twice, look at the handoff. Group comments around a change someone can make, assign an owner, and keep sensitive customer details out of public examples.

If you change a message or workflow, record the date and question version. Review later responses for the same problem. The automation measurement guide helps connect these observations to outcomes. Check whether the revised instructions or handoff address the problem people described.

FAQ

Frequently asked questions.

Should everyone who gives a low score receive an automated promotion?

No. Address the issue they reported. A survey response is not marketing permission.

Can I claim a satisfaction rate from respondents alone?

Label it as the result among respondents and disclose the denominator and question. Do not present it as the experience of all customers.
