WhatsApp cash-on-delivery confirmation: a workflow

Tanay PatelAI and full-stack engineer
The short answer

A WhatsApp cash-on-delivery confirmation checks whether the customer still wants a particular order and whether anything needs to change before fulfilment. Their reply helps the team decide what to do next. Payment and delivery still need their own records; a CONFIRM reply should never mark the order as paid.

Identify the order before asking for confirmation

Use the authorised store record and your customer-matching process. Include a recognisable order reference and the confirmed amount payable. Do not display another customer's full address while asking someone to identify an order.

Check whether the order is already cancelled, dispatched or changed. A stale export can ask a customer to confirm something the warehouse has already handled. The order-status guide explains how these facts differ.

Make the options clear

Fictional draft: "Please confirm whether you still want order DEMO-204 with payment on delivery. Reply CONFIRM, CHANGE or CANCEL. A change request will go to our team before dispatch."

Insert the actual verified amount and any necessary service details through the approved message design. Do not describe a reply as payment authorisation. Do not ask for card numbers, OTPs or banking credentials in the confirmation conversation.

If the customer asks a product question instead, answer or route it. Repeating the confirmation menu without addressing the concern is unlikely to resolve the order.

What should CONFIRM, CHANGE and CANCEL do?

CONFIRM: records the customer's stated intent after verifying the order relationship. CHANGE: opens an owned review task. CANCEL: follows the authorised cancellation process. No reply: remains unconfirmed unless your published process says otherwise.

A generic "yes" can be ambiguous if the last message asked several questions. Ask a narrow clarification rather than choosing the interpretation most convenient for fulfilment.

This is a proposed operating process. Verify the actual store action before automating any write. A read-only Shopify connection does not prove that cancellation, refund or dispatch actions are supported.

Keep the warehouse informed

A customer may request a different size while the warehouse is preparing the original order. The team needs to see that pending change before packing. Keep the order ID, latest observed state, customer reply, time, and next owner together in the confirmation record.

If an update fails or times out, check the existing order before repeating it. Keep the customer informed that the change is awaiting confirmation. Never report a cancellation complete because a request entered a queue.

Test exceptions before using a campaign

Try a changed amount, multiple orders for one customer, an already dispatched order, a cancellation reply, an unrelated "yes" and no response. Confirm that none marks the order paid.

Review duplicate replies and a disconnected store as well. Keep a staff queue for uncertain outcomes. Choose the follow-up policy with consent and customer expectations in mind; silence should not trigger an escalating sequence of pressure messages.

FAQ

Frequently asked questions.

Does replying CONFIRM mark a COD order paid?

No. It records intent to receive the order. Payment requires separate verified evidence.

Can no reply be treated as cancellation?

Only through your explicitly defined and communicated process. Do not infer it from silence in the chatbot alone.
