Invite and manage your team
Invite teammates to a Waaru workspace, choose the right role, manage pending invites, and change or remove access safely.
Reviewed
Invite each teammate with their own email address. Workspace roles control which pages and actions they can use, so choose the narrowest role that matches the person's work.
Choose a role
- Admin has full workspace access, including members, workspace details, billing preferences, and sensitive administration.
- Manager runs conversations, broadcasts, templates, contacts, segments, and workflows without managing members or billing.
- Marketer works with contacts, segments, templates, broadcasts, and Automation flows, but does not use the Inbox.
- Support agent works with conversations assigned to them.
- Developer manages Logic Flows, Automation flows, integrations, API keys, and operational data.
A teammate can hold additional roles when their responsibilities cross these boundaries. Review combined access carefully.
Send an invite
- Open Settings, then Team.
- Select Invite member.
- Enter the teammate's email address.
- Choose the role that matches their current responsibility.
- Send the invite.
The invite appears under Pending invites. If delivery fails, the invite remains recorded so the workspace can retry or revoke it without creating an unrelated second member.
Accept an invitation
Open the invitation link and confirm its workspace, role, email, and expiry. Sign in with the invited email address. If another account is signed in, sign out and use the invited identity.
Review the account policies shown on the invitation and select Accept policies and join. An invitation does not replace those policy decisions. If the link is expired or revoked, ask the workspace Admin to resend it. Do not create a separate workspace to work around an invitation error.
Manage a member
Use the member row to change roles, deactivate access, reactivate an eligible member, or remove them. Waaru prevents the workspace from removing its last active Admin. Promote another trusted member before changing the final Admin's access.
Role changes and member removal revoke access according to the new state. A person should refresh the dashboard after their role changes so navigation and permissions reflect the current workspace record.
Limit access to WhatsApp numbers
Workspace roles and number access are separate controls. From Numbers, open a number's actions menu and choose Manage access when a teammate should only work with selected WhatsApp connections. A permitted page may still show fewer numbers than another teammate sees.
