Create and use saved replies
Create workspace saved replies with shortcuts, variables, optional media, and number restrictions, then review them in the Inbox before sending.

Saved replies reduce repeated typing without sending automatically. Choosing one fills the Inbox composer, where the assigned teammate can review the resolved text and attachment before sending it.
Create a saved reply
- Open Settings, then Inbox.
- Select Saved replies.
- Choose Create saved reply.
- Enter a clear title and shortcut.
- Write the reply body and add supported variables where needed.
- Add a reusable attachment only when the same media belongs with this response.
- Choose whether the reply is available across the workspace or only for selected WhatsApp numbers.
- Save the reply.
Use a short, memorable shortcut such as /hours or /refund_policy. A title helps teammates understand the purpose before inserting it.
Use a saved reply
- Open an assigned conversation in Inbox.
- Open the saved reply picker or type the shortcut supported by the composer.
- Select the reply.
- Check the filled customer, workspace, conversation, and number values.
- Edit the draft if the situation needs a more personal answer.
- Send it through the normal composer.
Unknown variables do not resolve to guessed text. Fix the saved reply or provide the missing contact data before sending.
Media and number scope
A saved attachment remains a private workspace media item. It must still exist, remain eligible for reuse, and match the message type when the reply is selected and when it is sent.
Use number restrictions when a reply mentions a location, policy, team, or service that only applies to one WhatsApp number. A teammate working on another number will not receive that reply as an available option.
Edit or delete a reply
Open the saved reply's action menu to edit or delete it. If the record changed after you opened the form, reload the current version before saving over a teammate's work.
Saved replies do not bypass assignment, opt-out restrictions, number availability, or the 24-hour service window.
